Call to Order and Roll Call The Village of Broker of Record Selection Committee held a scheduled meeting at the Tequesta Village Hall, 345 Tequesta Drive, Tequesta, Florida, on Wednesday, October 15, 2008. The meeting was called to order at 3:04 p.m. by Village Clerk McWilliams who called the roll. Present were Manager Michael Couzzo, Human Resources Manager Merlene Reid, Police Chief William McCollom, Fire Chief James Weinand, Finance Director JoAnn Forsythe, and Village Clerk Lori McWilliams. Merlene Reid, Human Resources Manager, provided a short summary /overview on the RFP process leading up to the meeting. She explained four RFP's were received with Superior Insurance Solutions being disqualified for not labeling the RFP envelope correctly, and therefore being mistaken for daily mail and opened. She noted Chief McCollom pointed out the Drug Free document was not completed and signed by Erin Rankin and therefore should be disqualified. MOTION: Chief McCollom moved approval of disqualifying Erin Rankin from the process due to not properly completing the Drug Free document; seconded by Merlene Reid; motion carried unanimously 4-0. The committee agreed Wells Fargo and Gehring Group met the requirements as outlined in the RFP. Manager Couzzo recommended the two groups make presentations to Council in a public forum. Chief McCollom suggested inviting the unions. Ms. Reid noted the committee needed to establish criteria to rank the firms. The following interview questions were suggested: • Can we get all prices in by July? • What's your history with governmental clients and unions • What's your history with HSAs • Can the Village band together with other organizations for the specific purpose of gaining insurance • What are the number of employees that you have in office who will help service the employees problems and questions The committee agreed to provide three interview questions to the Human Resources Manager and the committee would meet again to narrow the questions to two each member.
