SUBJECT: CADD Mapping, Council Agenda Item
As you know, in this year's budget, the Water Department has allocated $14,700
for completion of a CADD Mapping System for its underground appurtenances. Once
completed, our base maps will include our water system and those facilities of the
wastewater provider, ENCON.
These base maps will make our job easier, not only in the field and
administratively, but also reduce our future work loads when we have our own CADD
System installed. We then just add the other utilities such as phone, FP&L and the
Village's storm drainage system.
Attached, you will find proposals from two firms to perform this work for us. They
are:
Reese, Macon & Associates, Inc. $14,250.00
Dailey & Associates, Inc. $12,000.00
Based on the above, we are requesting Village Council approval for expenditure
of $12,000. to Dailey & Associates of Jupiter, Florida. Funding will be provided by the
Water Enterprise Fund, Capital Improvement Account, having an FY '96 Fund Balance
of $14,700.
Please place this on the Council Agenda of August 8th for approval.

RE: VILLAGE MAPPING PROGRAM/ WATER & SEWER MAP
Dear Mr. Hall:
I have reviewed your request for the preparation of a dimensioned water and sewer CAD file, which will
be based upon the existing shop drawings currently on file at The Village. The information will be
presented in a 24' x 36' or 11' x 17' indexed atlas format.
The fee for said mapping services shall be S12,000.00 if all existing sewer and water base CAD files are
furnished to Dailey and Associates. Printing expenses for multiple copies of the maps will be an
additional charge. Upon completion of these mapping services, new CAD data files will be provided to
the Village of Tequesta.
Services requested by the Village not outlined above shall be considered as extras to this contract and will
be invoiced hourly in accordance with the following rates:
FIELD CREW S80•00/HR
LAND SURVEYOR 65.00/HR
CALCULATIONS & CAD 50.00/HR
DRAFTING dr. ADMINISTRATION 36.00/HR
Invoices shall be submitted upon completion of the above services, and payment will be expected within
30 days of invoice date.
This proposal Is subject to review and reevaluation one year from the date of said proposal.

RE: Water Distribution Maps
Gentlemen:
We are pleased to submit this proposal for engineering services in connection with the
preparation of CADD generated base maps of the Village's water distribution system.
REESE, MACON and ASSOCIATES, INC., hereinafter referred to as the Engineer,
shall perform the services as documented below for the Village of Tequesta, hereinafter
referred to as the Client.
SCOPE
The following specific tasks will be performed by the Engineer:
1. Prepare CADD generated base maps of the Village's distribution system to
include the following.
• Water mains, valves, hydrants, sampling locations, roadways/lots, etc. as
taken from Village provided record drawings and plats.
• Wastewater system (force main, gravity sewer and lift stations) as taken
from CADD files provided from Encon.
2. Provide one (1) set of 24" x 36" and 11" x 17" maps of the final product for
Village use.
The above scope is predicated on the assumption that the Client shall furnish, at no cost
to the Engineer, all available pertinent information including previous reports, plans,
specifications, permits and other data relevant to the performance of the above services
for the project. In addition, the Client shall designate, in writing, a person to act as the
representative for services performed under this agreement.

TIME OF PERFORMANCE
The Engineer will commence work within ten (10) days of receipt of an executed
authorization.
FEES
For Scope Items 1 & 2 the Engineer shall be paid a lump sum fee of Fourteen Thousand
Two Hundred Fifty Dollars ($14,250).
If services are required in the performance of the above scope, beyond those normally
provided by the Engineer, which must be sublet, the Engineer shall order the work after
obtaining the written authorization of the Client. The subcontractor shall bill the work
directly to the Client. If the Engineer is requested to subcontract the work directly, a
10% handling charge will be added to the subcontractors invoice.
Invoices for services rendered are issued on a monthly basis and are due within thirty
(30) days of the invoice date. Interest at a compound rate of one and one-half percent
per month shall be charged to any past due statements. Interest shall be computed on
past due statements from the date of the invoice.
COST ESTIMATES
Construction cost estimates are developed from knowledge of market conditions and
based on the experience of the Engineer. However, the Engineer exercises no control
over the competitive bidding process and, therefore, makes no guarantee of the accuracy
of the estimate when compared to previous estimates or actual bids.
TERMINATION
This agreement may be terminated by either party by giving thirty (30) days written
notice. The Engineer shall be paid for all services rendered prior to the termination
date.

ACCEPTANCE
Acceptance of this proposal may be indicated by executing this document in the space
provided below. This contract shall be considered void if not executed within thirty (30)
days from the above date. Upon execution of this agreement the Client shall return one
copy to the Engineer.
