Date: July 16, 1998 v Subject: Purchase of 71/2 Ton Carrier Air ConditioniniJnit for Council Chambers; Agenda Item For optimum comfort, the Village Hall Council Chambers is cooled by two air conditioning units; one on the west side and one on the east side. The air conditioning unit on the east side of the Council Chambers was not working and, upon a service inspection, the damage discovered was considered to be consistent with lightning damage. The unit is irreparable. Consequently,we filed an insurance claim by virtue of the apparent lightning strike and sought proposals for the replacement of a comparable air conditioning unit. Proposals were submitted for a 7 1/2 Ton Carrier Unit, 11 EER, 16 KW Electric Heat with a Manufacturer's Warranty for One-Year Parts and Labor and 5 Years on the Compressor,including labor and material, as follows: • Alford Air Conditioning,Inc. $5,272.00 Tequesta,FL • Okeechobee Air Conditioning& Refrigeration Co.,Inc. $5,440.00 Jupiter,FL • • J& K Appliance and Air Conditioning Service $5,550.00* Jupiter,FL (*does not include electrical work) Any insurance adjuster has examined the damaged air conditioning unit and we have been given the "go ahead" to purchase a new air conditioning unit for the lowest proposal cost. The Village will be responsible for a $1,000 deductible; the remaining cost will be paid by our insurance carrier. Therefore, it is recommended that we purchase the Carrier Air Conditioning Unit, as specified above, from Alford Air Conditioning, Inc., the lowest proposal, in the amount of $5,272.00. Funding for the same will be provided via a General Fund intrafund transfer to the General Government Building Maintenance line item account. Please place the Recommendation to Purchase the 7 1/2 Ton Carrier Air Conditioning Unit on the July 23, 1998,Village Council Agenda for consideration by the Village Council.
