HomeMy WebLinkAboutDocumentation_Historic_Tab 01_01/17/2014 VILLAGE OF TEQUESTA HISTORIC PRESERVATION COMM17°TEE MEETING MINUTES WEDNESDAY, NOVEMBER 1 �, 2009 1 e Call to Order and Roll Call The Village of Tequesta Historic Preservation Committee held a regularly scheduled meeting at the Tequesta Village Hall, 345 Tequesta Drive, Tequesta, Florida, on Wednesday, November 18, 2009. The meeting was called to order at 10:35 a.m. by Chair Bethany Humpage. Present were Bethany Humpage, Lee Resnik, Alice Klimas, Patricia Marie, and Village Clerk Lori McWilliams, and Recording Secretary Betty Laur. Dottie Campbell amved at 10:42 a.m. GUEST SPEAKER Lynn Lasseter Drake, Archivist & Research Specialist, provided copies of forms used by the Loxahatchee River Historical Society when obtaining historical donations, which could be adapted by the Viilage. She distributed a handout listing each form and its purpose, and described the process one would go through for each item and how to catalog and name collections. Board Member Campbell arrived at this point in the meeting, at 10:42 a.m. Ms. Drake advised a record book would be needed, and commented she used Past PerFect software, but the �Ilage could use the LaserFiche program they already had in place. She gave the committee a catalog from Gaylord, through which they could obtain archival materials. A form was provided to use when someone loaned an item. When someone came in with a donated item, the Village Clerk should sit down with them and fill out a worksheet with all infiormation about the item, and a receipt, and an accession receipt if the Village was sure they wanted to keep the item. Ms. Drake advised everyone should sign the documents at the time an item was received. Unwanted items could be transferred. Ms. Drake indicated she would email a long-term loan agreement, which was the form to be used if someone wanted to loan something. Discussion ensued regarding missing historical items. Ms. Drake advised the Historical Society of Palm Beach County kept all their rules online, so they were easily accessible. Ms. Drake described the system being used by Jupiter for their historical items, and how she entered each item in a box into the Past Perfect software. Village Clerk McWi(liams commented the committee needed to decide which items they wished to keep which the residents had donated. Ms. Drake commented there was a way to identify objects and she could loan the committee a book of the national guidelines. She welcomed the committee to come over to see what she had done. In response to the question of how old something had to be to be considered historic, Ms. Drake answered whatever made history; thus, materials from the last election would be historic. Some objects that had been saved for the archives were discussed.
