Re: HRIS Purchase
Over the years the HR department has been manually managing the Village's
HR needs and as discussed with you and IT Manager, Brad Gomberg, this situation
is no longer tenable. Specifically, HR's responsibilities have been evolving to include
the management of the intensive Affordable Care Act (ACA) requirements, as well as
the 401 a pofice pension plan, increased intervention v+rith conflict management issues
at the department level and protracted labor negotiations, to name a few. Basic
operational issues such as ieave requests, personnel movements and other
straightForward HR employee administrative functions have therefore become
overwhelming to manage. Additionally, there are a number of differing personnel
databases across the Village, resulting in the same data being entered a minimum of
3 times at the level of the department, HR and Finance, a direct result of departments
needing access to personnel infarmation in order ta run their operations. At the
strategic level, HR does not have the capability to run reports fior management
decision making.
The tT Manager and HR recently reviewed 3 software demos and received 3
quotes (see attached) from BambooHR, SentricWorkForce and Workday. We have
determined that BambooHR comes closest to delivering the most flexible product
that will a!!ow managers and employees to conduct their HR related business in the
most efficient and effective manner for a tatal recurring annual cost of $11,880
{guaranteed life#ime per person cost). Unlike traditional HR praducts, the newer HR
so#tware providers guarantee all software updates as they occur, included in the
annuaf cost. The Viltage may also choose to go with a month-to-month arrangement,
with the ability to stop the service at any time, however the quoted price includes a
10% discount as an incentive to renew annually. There's alsa a one-time
implementation cost of $1,799.10 for the start-up year, making a total one-year cast
of $13,679.10. Thank you for your support on this matter.

training data; importing benefit data; importing Vacation/Holiday balances; importing job data such as salary, division, department;
importing data for other custom fields, tabs, and tables; enabling employee self-service to gather emergency contacts, dependents, and
other data; initial setup of Vacation/Holiday policies; initial setup of one (1) custom permission group. includes the current custom fields,
tables, and tabs available in BambooHR. These do not include custom programming efforts or any development work with the
BambooHR API. Utilization of the BambooHR API is completed by customer with technical support available via email.
Package is based on work with one point of contact for all data and all data must be imported within the duration of the package. Extra

• The pricing proposed is based on a 3 year subscription term. Pricing assumes the payment schedule
outlined in this proposal.
• The multi-year commitment is non-cancelable, except in the case of Workday's or customer's breach of
obligations under the agreement. No termination for convenience rights are provided.
• The multi-year commitment is based on the entire current employee population for the whole term of
the agreement. Additional employees may be added at an additional per headcount cost that will be
outlined in the order form. Alternatively, committed growth may be added into the initial agreement in
years 2 and beyond.
• All subscription services are delivered using our SLA (Service Level Agreement) and data privacy
practices which deliver a consistent, programmatic experience for all customers.
• The pricing is based on using Workday's contracts, consisting of a Master Subscription Agreement,
Workday Security Exibit, Workday Data Processing Exhibit and attached Order Form(s). The primary
burden of delivery performance falls on Workday and our operating model relies on standardization in
order to deliver the economics described in the proposal.
• Education, training and deployment services are not included in the subscription fees provided. These
services will be called out in separate order forms.
• Workday's fees do not include any direct or indirect local, state, federal or foreign taxes, levies, duties

"Fuil-Time Empioyee" is an employee of Customer regularly scheduled for more
Full Time Worker than twenty hours per week regardless of the method of payment or actual hours
worked, whether or not such employee is eligible to receive employee benefits in
accordance with Customer's internal standard practices. A Full-Time Employee
will be considered non-temporary if they are hired to work for a period of more
than 3 months in a given year.
"Part-Time Employee° is an employee of Customer regularly scheduled for
Part-Time Worker twenty hours per week or less regardless of the method of payment or actual
hours worked, whether or not such employee is eligible to receive employee
benefits in accordance with Customer's internal standard practices. A Part-Time

Payroll for United employees. Configure earnings, deductions, accumulations, and balances.
States Identify tax authorities each company wishes to withhold for. Manage worker tax

Calculate, review/audit, and complete payrolls and settlement runs. Configure and

Workday Recruiting will support an organization in its talent acquisition process. It
Recruiting is designed to help hiring managers and recruiters identify, hire and onboard the
right talent for their businesses. Workday Recruiting will support the hiring
process, including workforce planning, requisition management, job posting
distribution, interview management, offer management, as well as support for local
data compliance and pre-employment activities. Workday Recruiting will also offer
hiring teams tools to proactively source, nurture and track internal and external
prospective candidates throughout the recruiting process.
Workday Planning enables organizations to perform planning, budgeting, and
Planning (if and forecasting for workforce and financial purposes. Workday Planning includes the
