PURPOSE:
To ensure that all laptop computers and accessory equipment owned by the agency are maintained in a
high state of readiness and are properly accounted for at all times.
SCOPE:
This order applies to all Police Department members.
POLICY:
The Police Department provides laptop computers and accessory equipment to agency personnel in an effort
to increase their efficiency and effectiveness. To accomplish the highest degree of benefit from the equipment provided,
it must be used in the proper manner and continuously maintained.
PROCEDURE:
I.PERSONNEL RESPONSIBILITY:
All agency personnel assigned a laptop computer shall be responsible for its
proper use and maintenance.
A. Use:
Laptop computers shall be used only in accordance with written directives and shall be used only for those
purposes specifically authorized. No unauthorized software or peripheral devices shall be installed or attached. The
agency will provide software only for agency owned computers.
B.Maintenance:
Laptop computers, accessory hardware or software shall be promptly repaired in accordance with
agency directives. Such repairs and maintenance include all aspects of the device, any accessory equipment, software
and software updates and revisions.
C. Repairs:
Laptop malfunctions shall be reported to the administrative division. The administrative division will
provide instructions based upon the nature of the malfunction.

II. SECURITY AND SAFETY:
A. Security:
All laptop computers shall be removed from the terminal mount and placed in a secure location when
the vehicle is not in service. Every effort will be made to store in conditions where heat and moisture will not
adversely effect the maintenance or operation of the device.
B. Safety:
Laptop computers shall be used in a safe manner at all times. Examples of safe use include but are not
limited to:

When a vehicle equipped with a terminal mount is in motion, the terminal mount will be maintained in its
lowermost position and rotationally centered, out of airbag deployment zones.

. Whenever a laptop computer is in use, the vehicle must be in a stationary mode and out of the direct path of traffic.

When using laptop computers personnel must continuously maintain awareness of their surroundings to avoid
mishap or potentially threatening situations.
III. USER GUIDELINES:
All personnel assigned a laptop computer shall read warranty information and follow all
maintenance and operating instructions provided by the manufacturer for both hardware and software.
A:Training:
Assigned personnel shall attend training on the appropriate use of all hardware and software in
accordance with agency directives.
IV. GLOSSARY:
LAPTOP COMPUTER - An electronic device, either portable or mobile, that is used to process and/or store information
either through electronic medium or by printing.
ACCESSORY EQUIPMENT - Items used to support operation, such as, printers, cables, carrying cases or any device
that attaches to or enhances the use and capability of the laptop computer.
TERMINAL MOUNT - A device installed in a vehicle, specifically designed for the purpose of securing a laptop
computer or other portable or mobile data service.
SOFTWARE - Written or printed data, such as programs, routines, and symbolic languages, essential to the operation of
computers.
HARDWARE - A computer and the associated physical equipment directly involved in the performance of
communications or data processing functions.
